Your role does not include the Start transcripts permission. Ask an admin to review your role.
Access hearing transcripts
Hearing transcripts, audio files, and pickup status are stored per client on the Hearing Audio tab. Open a client’s detail page, select the Hearing Audio tab, and review the available recordings and any generated transcript.
View transcripts and play audio
Each hearing file card shows an inline audio player when the recording is available. If a transcript has been generated, the speaker-labeled text appears under the Transcription heading. Speaker labels include roles such as Judge, Claimant, Representative, Vocational Expert, Medical Expert, and Interpreter, so you can follow who is speaking. Click any timestamp in the transcript to jump the audio player to that segment.
Export and download files
When a transcript is complete, click Export Transcript to open a printable view that includes the hearing date, receipt date, and full speaker-labeled transcription. You can also download the original audio files directly from the file card using the numbered Download Audio buttons. When an archive is available, use Download ZIP to save the full package.
Request a transcript
If a transcript is not yet generated, click Request Transcript to queue the job. The button label updates automatically while the job runs:
Request Transcript (queued) — the job is waiting to start.
Request Transcript (processing) — the job is running.
Waiting for pickup file — the audio file has not been picked up yet.
Processing audio… — the audio is being prepared before transcription can begin.
A success toast shows Transcription Started with the message Transcriptions take 30–60 minutes to complete. The card refreshes automatically when the transcript finishes, so you do not need to reload the page manually.
Refresh hearing files
The top of the tab shows the last pickup check. If no pickup has run yet, it displays Last pickup never. Chronicle automatically checks ERE for hearing audio pickup files on an hourly schedule. Users with the Trigger ERE checks permission can click Refresh pickup files to start a manual check immediately. A success toast shows Pickup refresh started with the message Checking ERE for new hearing audio pickup files. If no files have been picked up yet, the tab shows No hearing audio for this client yet.
Who can use these controls
Request Transcript requires the Start transcripts permission.
Refresh pickup files requires the Trigger ERE checks permission.
These permissions are included in the Staff, Manager/Rep, Admin, and Billing owner roles. If a button is disabled, your role does not include the required permission. Ask an admin to review your access if needed.
Some hearings are recorded across multiple files. When this happens, a note appears under the transcript: Long hearing — combined from multiple recordings; speaker labels may not match across the break.
Common issues
The Request Transcript button is disabled
Transcript status shows Waiting for pickup file
The hearing audio has not been picked up from the ERE yet. Click Refresh pickup files to check again.
Audio player is not loading
Try downloading the audio file directly with the Download Audio button.
